Primary Objective of the Position:

Ensure the efficient day-to-day operation of the office by organizing and coordinating administrative duties and office procedures. To create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Essential Position Functions:

  • Order all office/warehouse supplies, office equipment and furniture for all Cargojet facilities.
  • Maintain phone system, programming and installations for Mississauga and Hamilton facilities. On-going communication with Bell Canada.
  • Co-ordinate station moves and installations with phone and Utility providers for all Stations across Canada.
  • Order all stationary for Cargojet and maintain inventory (letterhead, envelopes, business cards, etc.)
  • Maintain all insurance certificates for building leases, vehicles, customers and suppliers’ insurance certificates.
  • On-going dealings with the insurance provider and yearly renewals for across Canada.
  • Maintain all customs bonds for Cargojet across the system.
  • Co-ordinate and maintain all office services for Mississauga (cleaners, coffee, shredding, etc.)
  • Maintain all company vehicle fuel cards.
  • Support Executives with all administrative duties.

Minimum Qualifications:

  • 2+ years of hands on administrative support experience.
  • Ability to work within a “team first” environment, and complete common goals within time sensitive deadlines.
  • Excellent computer skills in PowerPoint, Excel and Word along with the ability to navigate the internet.
  • Ability to learn quickly, and adapt to fast changing customer requirements.
  • Strong written and verbal communication skills.
  • Ability to prioritize projects.
  • Must be very well organized and experienced in maintaining a high level of confidentiality in all areas of involvement working for Senior Management.
  • Flexible to work weekends and stat holidays
